We are looking for a Front Office Coordinator that will sit out of our Santa Monica clinic. This will be a full time, full-benefits, 40 hours a week position. Must be available Monday through Friday, 8:30 am-5:00 pm.

The Front Office Coordinator that will be responsible for coordinating front office activities, physicians schedule, and providing patients with information that informs them on costs for care and guides them to the appropriate resource. The tasks that will be completed are as follows: answering telephones, screens callers, relays messages, and greet visitors. This individual needs to have a degree of creativity as well as be familiar with the field’s concepts, practices, and procedure.

Responsibilities:

  • Coordinates front office activities to support managerial functions of the entity
  • Monitors front office operations and related policies and procedures, and activities, including front office quality assurance.
  • Greets patients, records patient, and visitor arrivals, and obtains all information necessary to register patients in the practice’s computer and medical records systems, as applicable; notifies staff of visitor requests.
  • Prepares, maintains, retrieves, files and delivers patient medical record charts as needed to designate clinical areas.
  • Notifies clinical staff of patient’s arrival.
  • Answers telephones quietly and courteously and receives and relays messages effectively.
  • Monitors patient reception and waiting areas and neatens areas as needed.
  • Implements front office delivery of services in accordance with standards; participates in the front office standards and day-to-day operating policies and procedures such as timekeeping, scheduling, pulling charts, proofreading correspondence, fax distribution, daily charge and payment collection and entry; recommends changes in front office organizational systems, policies, and procedures.
  • Responsible for schedules; modifies appointment schedule as necessary throughout the day; notifies clinical personnel as appropriate of evolving schedule changes.
  • Calls patients who have missed appointments as directed, calls patients to confirm appointments.
  • Collects data, prepares reports, answers correspondence and telephone calls as needed.
  • Identifies and recommends solutions to routine front office operational problems; reports problems and coordinates with Practice Administrator to ensure front office organizational and operational problems and/or conflicts are resolved.
  • Identifies need for supplies, postage, and miscellaneous office items.
  • Orders and stocks clerical supplies and maintains cost-effectiveness by preventing waste of supplies.
  • Coordinates reception and waiting area activities
  • Assists with preparation, data entry, storage, maintenance of records and reports
  • Performs errands as directed.
  • Performs practice opening activities at the start of the day; assists with end-of-day filing of records and reports and performs practice closing activities.

Requirements:

  • High School Diploma or GED
  • 1-3 years of directly related experience
  • Strong communication, interpersonal, and customer service skills
  • Good judgment skills and the ability to make timely decisions and solve problems, occasionally in response to disasters or emergencies, actual events or drills.
  • Visual and auditory acuity adequate for frequent use of computers and regular use of other office equipment.
  • Ability to sit for long periods of time to perform desk, office, and administrative activities; use hands to touch and feel; occasional lifting or moving up to 10 lbs, standing, walking, stooping, bending, and kneeling.
  • Strong ethical and moral character reference

Pay: $22.00 - $27.00 per hour
