About Specialty Gardens:

SPR manages a 6,414-acre park system of over 485 parks and extensive natural areas. Specialty Gardens occupies a unique and special place within the greater Seattle Community. The Seattle Japanese Garden and the Volunteer Park Conservatory combined receive in excess of 160,000 paid visitors each year. The Seattle Japanese Garden is open to the public March-November six days a week and the Volunteer Park Conservatory is open to the public year-round six days a week. Specialty Gardens operates within the Parks and Environment Division.

Position Description:

The Recreation Center Coordinator for Specialty Gardens will be responsible for the day-to-day supervision and operation of the Seattle Japanese Garden and Volunteer Park Conservatory including gatehouse cashiers and greeters, gatehouse admissions, membership program and rentals. This position will also be the primary day-to-day contact for contracted partners who support programming, special events, capital project funding, volunteers, marketing, and outreach. The Recreation Center Coordinator for Specialty Gardens will also interface regularly with Specialty Garden Gardeners who support the collection and maintenance of each specialty garden.

We are seeking a dynamic, motivated individual with creative and analytical talents to build a strong and empowered Specialty Garden Team, work collaboratively with internal and external stakeholders, and support our unique partnerships with contracted non-profit organizations. The Recreation Center Coordinator for Specialty Gardens will report directly to the Specialty Gardens Operations Manager.

Job Responsibilities

  • Supervise and coordinate the daily gatehouse operations the Seattle Japanese Garden and Volunteer Park Conservatory.
  • Supervise all permanent, temporary staff and volunteers assigned to the Specialty Gardens and its associated facilities.
  • Supervise, implement and monitor staff work plans, mid and year-end staff reviews, recognizing good performance and engaging in coaching and corrective action when needed.
  • Develop operational enhancements, improvements and recommendations that are customer service, policy, process, safety and data informed.
  • Support the implementation of a broad range of recreational and cultural programs in partnership with internal SPR work units, contracted partner organizations, and service providers.
  • Provide leadership, model excellent workplace values and behaviors, and ensure compliance with all policies and procedures.
  • Build a successful team reflective of the diversity of the community.
  • Assure a high standard of customer service with the public, partners, local businesses, school-districts, and internal and external work teams.
  • Promote and market Specialty Garden programs, facilities, and services in cooperation with contracted partners.
  • Serve as a Specialty Garden content expert, supporting internal and external communications, teams, meetings and advocacy efforts.
  • Monitor programs ensuring outcomes and measurements.
  • Supervise and maintain general fund finances and budgets by regularly forecasting, monitoring, and managing resources while meeting City and State Auditor requirements.
  • Implement procedures and establish administrative systems to support and monitor paperwork, communication, and assignments to meet deadlines, auditor/legal requirements, and Department standards.
  • Coordinate the use of the facility through rentals and cooperative ventures.
  • Oversee Ventek machine contract and support.
  • Develop and implement site safety plans and response.
  • Develop, update and regularly review operating procedures and processes including maintaining Specialty Garden operations manual.
  • Performs related duties as required.

Qualifications

Minimum Qualifications:

  • Requires two years' experience in a multipurpose recreation facility program or similar and a bachelor's degree in Recreation, Physical Education or Recreation Administration (or combination of education and/or training and/or experience which provides an equivalent background required to perform the work of the class).
You will be most successful in this role with a combination of:
Experience in:
  • Supervising and/or managing a busy recreation facility.
  • Supervising staff, building successful teams and managing performance.
  • Managing seamless customer service systems in a large organization.
  • Creating and supporting partnerships with non-profit and community-based organizations.
  • Planning, organizing, and implementing community programming.
  • Budget preparation, monitoring and oversight.
  • Contract management including tracking data-driven outcomes.
  • Working in a Windows based environment and point-of-sale, registration and facility booking software systems.
  • Working in an urban environment with diverse people from a broad range of backgrounds.
  • Safely resolving difficult/crisis situations and respond nonjudgmentally to problematic behavior.

An ability to:

  • Build team, support and mentor staff, and cultivate a relational workplace culture.
  • Communicate consistently and clearly with internal and external stake holders.
  • Focus on solutions, anticipate barriers, and use creative problem solving.
  • Track competing work items, meet deadlines, plan proactively and think strategically.
  • Adapt to change, be flexible and find humor in the work.
  • Speak a second language such as such as Spanish, Chinese, Somali, Vietnamese, Korean, Japanese, Oromo, Russian, etc.

Additional Information

License, Certification and Other Requirements:

  • Must be willing to work evenings and weekends, have a current Washington State Driver's License or evidence of equivalent mobility, and have a First Aid and CPR certificate (or be willing to acquire one within six months of hire).
Work Environment:
  • Outside work is required in all types of weather.
  • Work involves occasional exposure to hostile program participants.
  • Work requires occasional extended periods of standing or walking.
  • Frequently required to lift up to 50 pounds.

The full salary range for this position is $35.87 to $41.83 per hour.
